These Terms of Service explain the basis on which VowLens provides its wedding memory collection service to customers.

VowLens is a United Kingdom wedding technology service for couples who want to collect candid guest-captured wedding memories in one private place. The service helps couples gather photos, short videos and, depending on the package, written or voice messages from their wedding guests.

Please read these Terms carefully before placing an order. By buying, accessing or using VowLens, you agree to be bound by these Terms.

These Terms are intended for consumer customers only. VowLens does not currently sell to businesses, wedding planners, venues, agencies or other commercial buyers.

1. Who we are

VowLens is the legal and trading name of a sole trader business established in Scotland.

VowLens is not a company or limited liability partnership. References to “VowLens”, “we”, “us” or “our” mean the sole trader business trading as VowLens.

2. Definitions

In these Terms:

“Consumer” means an individual acting wholly or mainly outside their trade, business, craft or profession.

“Couple”, “customer”, “you” or “your” means the individual who buys a VowLens package.

“Guest” means a person who accesses, scans, views or uses your VowLens QR code, upload page, gallery link or related wedding page.

“Service” means the VowLens wedding memory collection service, including your wedding-specific QR code, guest upload page, private gallery, hosting, storage, download tools, email communications, package features and any printed items included in the package you buy.

“Digital Service” means the digital parts of the Service, including the wedding-specific QR code, upload page, gallery page, digital styling, online access, hosting, upload functionality, download functionality and related digital features.

“Uploads” means photos, videos, written messages, voice messages or other content submitted through VowLens.

“Gallery” means the private online gallery where Uploads are displayed, stored and made available to the Couple.

“Package” means the VowLens package you purchase, such as Keepsake, Signature or Heirloom.

“Wedding Date” means the wedding or event date supplied by you during checkout or setup.

3. Scope of the Service

VowLens provides a private digital collection space for wedding guest memories.

The Service allows Guests to scan a wedding-specific QR code and submit Uploads through a guest upload page. Guests do not need to download an app or create a guest account.

VowLens is intended for personal wedding and private event use only. It must not be used for unlawful, harmful, abusive, exploitative, adult, public broadcasting, commercial resale, data harvesting or mass distribution purposes.

VowLens does not replace a professional photographer, videographer, wedding planner, venue, guestbook supplier, cloud backup provider or archival storage service. It is a guest memory collection tool designed to help Couples gather guest-captured photos, videos and messages in one private place.

4. Your package

The package you buy determines the features, upload limits, upload window, storage period, digital tools and any printed items included.

Unless your order confirmation says otherwise:

4.1 Keepsake

The Keepsake package includes:

  • one wedding-specific QR code;
  • one guest upload page;
  • one private gallery;
  • photo uploads;
  • video uploads of up to 30 seconds per video;
  • up to 500 Uploads;
  • an upload window from 7 days before the Wedding Date until 30 days after the Wedding Date;
  • gallery storage for 3 months from the Wedding Date;
  • couple download access during the storage period.

4.2 Signature

The Signature package includes:

  • one wedding-specific QR code;
  • one guest upload page;
  • one private gallery;
  • photo uploads;
  • video uploads of up to 60 seconds per video;
  • written guest messages;
  • voice messages, where available;
  • up to 2,000 Uploads;
  • an upload window from 14 days before the Wedding Date until 3 months after the Wedding Date;
  • gallery storage for 6 months from the Wedding Date;
  • couple download access during the storage period.

4.3 Heirloom

The Heirloom package includes:

  • one wedding-specific QR code;
  • one guest upload page;
  • one private gallery;
  • photo uploads;
  • video uploads of up to 90 seconds per video;
  • written guest messages;
  • voice messages, where available;
  • unlimited Uploads, subject to clause 4.5;
  • an upload window from 30 days before the Wedding Date until 6 months after the Wedding Date;
  • gallery storage for 12 months from the Wedding Date;
  • couple download access during the storage period;
  • printed QR materials, where stated at checkout;
  • a printed keepsake photo book, where stated at checkout.

4.4 Unlimited guest access

“Unlimited guest access” means we do not set a fixed limit on the number of Guests who may scan the QR code or access the guest upload page.

It does not remove:

  • upload limits for Keepsake or Signature;
  • video length limits;
  • storage periods;
  • technical limits;
  • fair use controls;
  • content rules;
  • security controls;
  • legal compliance obligations.

4.5 Fair use of Heirloom

“Unlimited Uploads” in the Heirloom package is subject to fair use.

We may apply reasonable technical, security, storage or operational controls where use of the Service is excessive, automated, abusive, unlawful, harmful, technically disruptive, materially outside normal private wedding use, or likely to impair the Service for other customers.

Where reasonably possible, we will contact you before applying any material restriction.

5. Ordering and payment

Orders are placed online through https://vowlens.co.uk or another checkout route approved by VowLens.

Payments are processed by Stripe or another payment provider shown at checkout. VowLens does not store your full payment card details.

Your order is accepted when we send you an order confirmation email, make your purchased package available to you, or begin creating your wedding-specific digital setup, whichever happens first.

Prices are shown in pounds sterling unless stated otherwise. Consumer-facing prices include applicable UK taxes unless clearly stated otherwise.

You are responsible for ensuring that the information you provide during checkout and setup is accurate, including your name, email address, wedding date, wedding details, spelling, styling choices, delivery details and any information used in printed materials.

6. Digital access and delivery

VowLens is a personalised digital wedding service.

After purchase, we may begin creating and supplying your wedding-specific QR code, guest upload page, gallery page and related digital features immediately.

Digital access may be provided by email, website dashboard, link, QR code, gallery access page or another method we choose.

You are responsible for checking that all wedding details, names, dates, welcome messages, gallery settings, QR signs, print details and styling choices are accurate before using, sharing, approving or printing them.

VowLens is not responsible for errors caused by inaccurate information supplied by you, unless the error is caused by our failure to use reasonable care and skill.

7. Immediate performance, cancellation rights and digital content

Because VowLens is purchased online, you may have a legal right to cancel within 14 days in some circumstances.

However, VowLens includes personalised digital content and digital services that may be supplied or started immediately after purchase at your request.

At checkout, we may ask you to confirm that:

  1. you want VowLens to begin supplying the Digital Service immediately;
  2. you understand that your wedding-specific QR code, upload page, gallery page and related digital setup are personalised to your wedding;
  3. you understand that, once digital supply or performance has begun, you may lose your right to cancel the digital part of your order, where the law allows;
  4. you understand that if you cancel a service element during any cancellation period after requesting immediate performance, you may have to pay for the part of the Service already supplied.

Where required by law, your cancellation rights will not be affected unless the necessary consent, acknowledgement and confirmation have been obtained.

8. Refunds, postponements and customer cancellations

VowLens is created for a specific wedding or event. Once digital supply or performance has begun, refunds are not usually available for the digital part of your order unless required by law.

Subject to your statutory rights, we do not usually offer refunds where:

  • you change your mind after requesting immediate digital access;
  • your wedding is postponed;
  • your wedding is cancelled;
  • you decide not to use the Service;
  • Guests do not upload as much content as expected;
  • Guests upload poor-quality, unsuitable or unwanted content;
  • venue Wi-Fi, mobile signal or guest devices affect use of the Service;
  • you supplied incorrect details and did not correct them in time;
  • you fail to share or display the QR code effectively;
  • you fail to download your content before the end of the storage period.

This does not affect your statutory rights. You may still be entitled to a remedy where the Service is not provided with reasonable care and skill, is not as described, or where the law gives you a right that cannot be excluded.

If your wedding is postponed, you should contact us as soon as possible at hello@vowlens.co.uk. We may, at our discretion, move your upload window and gallery storage period to a new Wedding Date where technically, legally and commercially reasonable.

We are not obliged to move a Wedding Date where the request is abusive, repeated, impractical, technically unavailable, outside the purchased package, or would require us to provide a materially different service.

9. Your responsibilities

You are responsible for:

  • providing accurate order and setup information;
  • checking all wedding details before use;
  • ensuring your QR code is displayed clearly and appropriately;
  • ensuring Guests know how and when to use the Service;
  • deciding who receives your QR code, gallery link or password;
  • keeping gallery access details secure;
  • reviewing and moderating your Gallery;
  • deleting unwanted Uploads where the Gallery tools allow you to do so;
  • downloading your Uploads before the storage period ends;
  • complying with these Terms and applicable law.

You must not use the Service, or allow it to be used, in a way that is unlawful, harmful, abusive, threatening, defamatory, discriminatory, sexually explicit, exploitative, invasive of privacy, infringing, malicious, technically harmful, misleading or otherwise inappropriate.

10. Guest use and uploaded content

Guests may submit Uploads through the guest upload page without creating a VowLens account.

Guests are responsible for the content they upload.

You are responsible for how you invite Guests to use the Service and for any event-specific guidance you give them.

You should not encourage Guests to upload anything that is unlawful, offensive, private, confidential, infringing, sexually explicit, harmful or inappropriate.

VowLens does not guarantee that Guests will use the Service, upload any particular amount of content, upload good-quality content, or upload content suitable for printing, sharing or keeping.

11. Ownership and licence of Uploads

VowLens does not claim ownership of Guest Uploads.

Guests and other rights holders retain any copyright, privacy rights, image rights and other rights they already hold in their Uploads.

By submitting an Upload, the Guest grants VowLens a limited, non-exclusive, royalty-free licence to host, store, process, copy, transmit, display, make available, technically adapt and otherwise use that Upload solely as needed to provide, secure, maintain and support the Service.

This licence lasts for the relevant package storage period and any reasonable backup, legal, audit, security or technical retention period.

You confirm that you have a legitimate personal reason for inviting Guests to submit Uploads to your wedding Gallery and that you will use Uploads responsibly and lawfully.

12. Gallery access, passwords and security

Galleries are intended to be private.

Access may be protected by links, passwords, QR codes or other access controls.

You are responsible for keeping gallery links, passwords, QR materials and download links secure.

Anyone with the relevant link, QR code, password or access details may be able to access the relevant page or Gallery. You should only share access details with people you trust.

VowLens is not responsible for unauthorised access caused by you or your Guests sharing links, passwords, QR codes or access details beyond your intended audience.

13. Moderation, removal and legal complaints

VowLens does not promise to proactively review or moderate Uploads before they appear in your Gallery.

You are primarily responsible for reviewing your Gallery and deleting unwanted Uploads using the tools available to you.

We may remove, restrict, disable or refuse to host any Upload or account access where we reasonably believe it is unlawful, harmful, abusive, infringing, explicit, discriminatory, threatening, technically harmful, in breach of these Terms, or likely to expose VowLens or others to legal, regulatory, security or reputational risk.

Guests who want an Upload removed should usually contact the Couple first, because the Couple controls the wedding Gallery experience. However, Guests and other individuals may also contact VowLens at hello@vowlens.co.uk where they believe content is unlawful, infringes their rights, contains their personal data, or should otherwise be reviewed.

Nothing in these Terms prevents VowLens from complying with data protection law, intellectual property law, court orders, regulatory requests, law enforcement requests, safeguarding concerns or other legal obligations.

14. Privacy and data protection

Our Privacy Policy explains how we collect, use, store and share personal data.

By using VowLens, you agree to read and follow the Privacy Policy where it applies to you.

You must not use the Service to collect, upload or share personal data unlawfully.

Where you invite Guests to use VowLens, you should make them aware that their Uploads and any information they submit will be processed through VowLens and made available in your private Gallery.

We will not use Guest Uploads in public marketing unless appropriate permission has been obtained.

15. Marketing communications

We may send service emails relating to your order, setup, access, Gallery, downloads, security, storage period, package or support request.

We may send marketing emails only where we have a lawful basis to do so.

You can unsubscribe from marketing emails using the unsubscribe link or by contacting hello@vowlens.co.uk. You may still receive essential service communications relating to your order.

16. Printed Heirloom items

Where the Heirloom package includes printed items, those printed items are personalised goods made for your wedding.

Printed items may be fulfilled by VowLens or by a third-party print partner.

You are responsible for checking all names, dates, spellings, colours, layouts, QR codes, delivery details and proof details before approving any print item.

16.1 Printed QR materials

Where printed QR cards, signs or similar materials are included, we will use reasonable care and skill in preparing or arranging them.

You are responsible for displaying printed QR materials clearly and appropriately at your venue.

VowLens is not responsible for poor scanning caused by placement, lighting, print damage after delivery, venue conditions, incorrect display, reduced size, obstruction, guest device limitations, mobile signal or Wi-Fi issues.

16.2 Keepsake photo book

Where a printed keepsake photo book is included, it may be subject to a maximum number of photos, layout restrictions, print quality limitations and production requirements.

Uploads may not always be suitable for print. Guest photos may be low resolution, blurred, dark, cropped, duplicated, badly framed or otherwise unsuitable. VowLens is not responsible for the quality of Guest Uploads.

16.3 Print proof approval

Where we send you a print proof:

  1. you must review it carefully;
  2. you must tell us about any errors within 5 working days;
  3. you must not approve the proof unless you are happy for printing to begin;
  4. if you approve the proof, printing may begin immediately;
  5. if you do not respond within 5 working days, we may treat the proof as approved and begin printing;
  6. once printing has begun, the printed item cannot usually be cancelled, changed or refunded unless required by law.

16.4 Print defects

If a printed item arrives damaged, defective or materially different from the approved proof, you must contact us promptly and provide reasonable evidence, such as photographs.

Depending on the issue and your statutory rights, we may offer a repair, replacement, reprint, partial refund or refund.

Estimated print lead times are estimates only and are not guaranteed delivery dates unless we expressly agree otherwise in writing.

17. Availability and technical limits

We will use reasonable care and skill to provide the Service.

However, VowLens depends on internet access, mobile networks, guest devices, browsers, venue Wi-Fi, hosting providers, payment providers, email providers, storage providers, print partners and other third parties.

We do not guarantee that the Service will be uninterrupted, error-free, continuously available, compatible with every device, compatible with every browser, available at every venue, or free from delays, outages or technical faults.

We may suspend, restrict or interrupt access where reasonably necessary for maintenance, security, legal compliance, emergency repair, technical protection, misuse prevention or service improvement.

Where reasonably possible, we will try to minimise disruption.

18. What VowLens does not guarantee

VowLens does not guarantee that:

  • every Guest will use the Service;
  • any Guest will upload content;
  • Guests will upload high-quality photos, videos or messages;
  • Uploads will be suitable for printing;
  • deleted Uploads can be recovered;
  • third-party providers will never experience outages;
  • the Service will work perfectly on every phone, tablet, browser, network or venue Wi-Fi system;
  • QR codes will scan if printed incorrectly, displayed too small, placed in poor lighting, damaged, obstructed or not shown to Guests;
  • your Gallery will contain every important wedding moment;
  • VowLens will replace the need for a photographer, videographer or professional backup system.

19. Storage, downloads and deletion

Your package includes gallery storage for the period stated in clause 4 unless your order confirmation says otherwise.

You should download your Uploads before the storage period ends.

After the storage period ends, we may delete, disable, archive or make unavailable your Gallery and Uploads without further notice.

We are not responsible for loss of Uploads where you fail to download them before the end of your storage period.

Deleted Uploads may not be recoverable.

We may retain limited records where reasonably required for legal, tax, accounting, fraud prevention, security, dispute handling, backup or regulatory purposes.

20. Changes to the Service

We may make reasonable changes to the Service for legal, technical, operational, security, provider, design or business reasons.

We will not materially reduce the core features of the package you have already bought without a reasonable basis.

If a change materially reduces the package you bought, we will take reasonable steps to provide an equivalent feature, workaround or appropriate remedy.

We may withdraw, replace or modify unpaid, beta, trial, bonus, experimental or discretionary features at any time.

21. Third-party providers

VowLens may use third-party providers to help provide the Service, including providers for payments, hosting, storage, email delivery, analytics, security, print fulfilment and technical infrastructure.

We are responsible for providing the Service to you under these Terms. However, we are not responsible for failures caused by third-party systems where those failures are outside our reasonable control, except where the law says otherwise.

Your use of some third-party features may also be subject to third-party terms or privacy information.

22. Misuse, suspension and termination

We may suspend, restrict or terminate access to the Service where we reasonably believe that:

  • you or a Guest have breached these Terms;
  • the Service is being used unlawfully or abusively;
  • access creates a security, legal, technical or reputational risk;
  • payment has failed or been reversed;
  • we are required to do so by law, a regulator, a court, a payment provider or another competent authority;
  • continued access would harm VowLens, other customers, Guests, third-party providers or the public.

Where reasonably possible, we will contact you before taking action. We may act without notice where urgent action is needed.

Suspension or termination under this clause does not affect any rights or obligations that have already arisen.

23. Liability

Nothing in these Terms limits or excludes liability where it would be unlawful to do so. This includes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, and liability that cannot be excluded or restricted under consumer law.

Nothing in these Terms affects your statutory rights.

Subject to the above, VowLens is not responsible for:

  • losses caused by inaccurate, incomplete or late information supplied by you;
  • guest failure to use the Service;
  • poor-quality, unwanted, offensive or unsuitable Guest Uploads;
  • venue internet problems, mobile signal problems or Wi-Fi restrictions;
  • device, browser, camera, operating system or user setting issues;
  • unauthorised access caused by sharing links, QR codes or passwords;
  • failure to download Uploads before the storage period ends;
  • loss of memories not captured or uploaded by Guests;
  • indirect, consequential or unforeseeable losses;
  • business losses, including loss of profit, loss of business, loss of opportunity or loss of goodwill, because VowLens is supplied only for personal consumer wedding use.

Subject to the exclusions and protections above, our total liability to you for any paid order will not exceed the amount you paid for the relevant VowLens package.

24. Events outside our reasonable control

We are not responsible for delay or failure caused by events outside our reasonable control.

This may include internet outages, hosting failures, payment provider issues, email provider issues, cyber incidents, supplier failure, print partner delays, postal or courier disruption, industrial action, extreme weather, fire, flood, public health events, changes in law, government action, venue restrictions, power failure or telecommunications failure.

Where an event outside our reasonable control affects the Service, we will take reasonable steps to reduce the impact where practical.

Please include your order email address, Wedding Date, package and a clear description of the issue.

We will respond within 28 business days.

26. Transfer of rights

You may not transfer your order, package, Gallery or rights under these Terms to another person without our written consent.

We may transfer our rights and obligations under these Terms to another organisation or person, provided this does not materially reduce your rights under these Terms.

27. If part of these Terms is invalid

If any part of these Terms is found to be unlawful, invalid or unenforceable, the rest of the Terms will continue to apply.

Where possible, the unlawful, invalid or unenforceable part will be treated as changed only to the extent needed to make it lawful, valid and enforceable.

28. No waiver

If we do not enforce a right under these Terms immediately, that does not mean we have waived that right.

We may still enforce it later.

29. Governing law and courts

These Terms, and any dispute or claim arising out of or in connection with them, are governed by the laws of Scotland.

Subject to any mandatory consumer rights or jurisdiction rules that cannot lawfully be excluded, the Scottish courts shall have exclusive jurisdiction over any dispute or claim arising out of or in connection with these Terms, the Service, any order, any Gallery, any Uploads or any related matter.

If you are a consumer living outside Scotland, you may have mandatory rights under the laws of the country or part of the United Kingdom where you live. Nothing in these Terms is intended to deprive you of mandatory consumer protections that cannot legally be excluded by contract.
